How to maintain a consistent and effective planning routine
Managing a career and motherhood is a significant challenge. Personally, I am juggling a very fast-paced career, a doctoral program, and very active children. With countless tasks and responsibilities to juggle, it’s easy to feel overwhelmed. But with the right tools and strategies, you can manage your time more effectively and create a sense of balance in your busy life. Drawing from my own experience, I understand the struggles and have found ways to cope. One such tool is the paper planner. While digital tools are popular, the tactile experience of writing things down on paper can be uniquely satisfying and beneficial. I have been a fan of paper planners for years. All the way back to grade school. I guess back then, we didn’t have advanced options, but I digress. Here are five planner hacks that can help career moms boost productivity and make the most of each day.

Color Code Your Life
One of the simplest yet most effective planner hacks is color coding. Color coding has become a part of my planning routine. Whether planning for the year or the day, it has proven to be extremely effective. I follow a simple color coding scheme, but the beauty of it is that it’s flexible and can be tailored to your specific needs.
Assign different colors to various aspects of your life, such as work, family, self-care, and errands. For instance, use blue for work-related tasks, pink for family activities, green for personal goals, and yellow for household chores. This visual separation allows you to quickly glance at your planner and see where your time and energy are going. It also helps in balancing your day, ensuring that you’re not neglecting any area of your life and giving you a sense of control over your time.
Master Time Techniques
I like to consider time techniques as time blocking, time chunking, focus time, and time tasking. Perhaps I will dive deeper into these techniques in an upcoming blog post.

- Time blocking: Structuring your day by assigning specific tasks to specific time slots.
- Time chunking: Grouping similar tasks together for smoother transitions and increased efficiency.
- Focus time: Giving undivided attention to critical tasks to produce higher-quality work.
You can use these techniques together to create a well-rounded and productive planning strategy.
A Closer Look at Time Blocking
Time blocking, a strategy that involves allocating specific chunks of time to different tasks or activities throughout the day, is a powerful way to bring balance to your work and personal life. By dedicating set times to specific tasks, such as reserving 9:00 AM to 11:00 AM for deep work, 11:00 AM to 12:00 PM for meetings, and 1:00 PM to 2:00 PM for family time, you’re less likely to get distracted or procrastinate. This method helps maintain focus and manage your time efficiently and ensures that important tasks don’t get sidelined, providing a sense of control over your day and relief from distractions and procrastination.
Break Down Big Goals into Manageable Tasks
I’ve been shouting this from the rooftops since I started this journey, Career Mom Community, LLC. Why? Because big goals can feel incredibly daunting. However, breaking goals into smaller, manageable tasks can make them more achievable.
Use your planner to create to-do lists that outline each step needed to accomplish your goals. For example, if you’re working on a big project at work, break it down into smaller tasks like research, drafting, and reviewing. This not only makes your goals less intimidating but also gives you a sense of accomplishment and satisfaction as you check off each task, motivating you to move forward.
Stick it to Your Goals – Stay Flexible with Sticky Notes
Life as a mom is unpredictable, and plans often change at the last minute. To keep your planner neat and flexible, you can use sticky notes for tasks or reminders that aren’t set in stone. If something comes up or a task needs to be rescheduled, you can simply move the sticky note to a different day. This way, your planner stays organized, and you can adapt to changes without the stress of crossing things out or rewriting your schedule. Additionally, color-coding your sticky notes for different categories or priorities can help you quickly identify and prioritize tasks. Using different colors for work, family, and personal tasks, for example, can help you stay organized and on top of your schedule.
To Wrap it Up
Using a paper planner effectively can be a game changer for career moms trying to balance work and family life. By incorporating these five hacks—color coding, time blocking, weekly reviews, breaking down tasks, and using sticky notes—you can enhance your productivity and manage your time with more ease and confidence. Remember, the goal is not just to be busy but to be productive and intentional with your time. With a well-organized planner in hand, you’ll be better equipped to handle whatever the day throws your way, and feel a sense of relief knowing that you have everything under control.
Start applying these hacks today, and witness the immediate improvement in your week’s manageability and the increased fulfillment in your daily life!
